NeuroHarmonics LTD is committed to protecting the privacy and security of your personal information.

This privacy notice describes how we collect and use personal information about you during and after your application process with us, in accordance with the UK General Data Protection Regulation (UK GDPR). It applies to all job applicants.

NeuroHarmonics LTD is a "controller". This means that we are responsible for deciding how we hold and use personal information about you. We are required under data protection legislation to notify you of the information contained in this privacy notice.

Data Protection Principles

We will comply with data protection law, which says that the personal information we hold about you must be:

  • Used lawfully, fairly and in a transparent way
  • Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes
  • Relevant to the purposes we have told you about and limited only to those purposes
  • Accurate and kept up to date
  • Kept only as long as necessary for the purposes we have told you about

The Information We Hold About You

In connection with your application for work with us, we will collect, store, and use the following categories of personal information about you:

  • The information you have provided in your CV, application form, and covering letter
  • Your name, address and contact details, including email address and telephone number
  • Details of your qualifications, skills, experience and employment history
  • Information about your current level of remuneration, including benefit entitlements
  • Information about your entitlement to work in the UK

Visa Sponsorship Data

If you require visa sponsorship to work in the UK, we will collect and process additional personal information required by UK Visas and Immigration for sponsorship purposes. This includes passport details, immigration history, biometric residence permit details, and other information required for certificate of sponsorship and visa applications. We will share this information with the Home Office and, where necessary, with immigration advisors who assist us with sponsorship processes.

How We Collect Your Information

We collect personal information about job applicants through the application and recruitment process, either directly from candidates or sometimes from an employment agency. We may sometimes collect additional information from third parties including former employers or other background check providers.

How We Will Use Information About You

We will use the personal information we collect about you to:

  • Assess your skills, qualifications, and suitability for the role
  • Communicate with you about the recruitment process
  • Keep records related to our hiring processes
  • Comply with legal or regulatory requirements

We have a legitimate interest in processing your personal information during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate's suitability for employment and decide to whom to offer a job.

Data Retention

If your application for employment is unsuccessful, we will hold your data on file for 6 months after the end of the relevant recruitment process. After this period, we will securely destroy your personal information.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice that references the company's data retention policy.

Data Sharing

We will share your personal information with:

  • Members of the recruitment and management team
  • External HR advisors, when necessary for advice on specific issues

All our third-party service providers are required to take appropriate security measures to protect your personal information.

International Transfers

We may transfer the personal information we collect about you to Australia in order to perform our application review process. Australia is covered by UK adequacy regulations, meaning that country is deemed to provide an adequate level of protection for your personal information.

Your Rights

Under certain circumstances, by law you have the right to:

  • Request access to your personal information
  • Request correction of incomplete or inaccurate personal information
  • Request erasure of your personal information
  • Object to processing of your personal information
  • Request restriction of processing your personal information
  • Request the transfer of your personal information to another party

We reserve the right to update this privacy notice at any time, and we will provide you with a new privacy notice when we make any substantial updates. We may also notify you in other ways from time to time about the processing of your personal information.
